Microsoft Office PDF Export Solutions Guide

Microsoft used to offer a free “Save as PDF or XPS” add-in for Microsoft Office 2007, but it is no longer necessary for newer versions of Office. Here’s what you should know:

For Modern Versions of Microsoft Office (2010, 2013, 2016, 2019, 2021, Microsoft 365):

  • Built-in PDF Export: Since Office 2010, Microsoft has included native PDF support.

    • To save AS PDF:

      • Click File → Export → Create PDF/XPS (or Save As and choose PDF).

      • No additional download is needed.

For Older Versions (Office 2007):

  • Original Download (Discontinued):
    The official “Microsoft Save as PDF or XPS” add-in is no longer available on Microsoft’s website, but you might find it on third-party software archives (be cautious of unofficial sources).

    • Official Alternative: Use OpenOffice or LibreOffice (free alternatives that support PDF export).

    • Virtual Printer: Install a free PDF printer like Microsoft Print to PDF (built into Windows 10/11) or CutePDF Writer.

Safe Alternatives:

  1. Microsoft Print to PDF (Windows built-in):

    • Open your document, press Ctrl + P, and select Microsoft Print to PDF.

  2. Online Converters:

    • Use ASPDF.IN, or Adobe’s online tools (for occasional use).

  3. LibreOffice:

    • A free office suite that exports to PDF seamlessly.

Warning:

Avoid downloading the old add-in from unofficial sites, as they may contain malware. If you’re using Office 2007, consider upgrading to a newer version or using a free alternative.
